Client Services and Administrative Coordinator

The Client Services and Administrative Coordinator plays a key role in supporting a small, east-side client‑focused law firm specializing in estate planning, elder law, and special needs planning. This position manages front‑office operations, assists with scheduling and client communication, and provides essential administrative support to attorneys and staff. Because the firm works closely with seniors, individuals with disabilities, and families navigating sensitive planning issues, the ideal candidate is compassionate, patient, and highly organized.

Details:

  • Full-time, in-person in Shaker Heights, Ohio.

  • Predominantly Monday through Friday, 9-5.

  • Salary: $32,000 - 38,000

Key Responsibilities

  • 📞 Answer and direct incoming calls with professionalism, empathy, and clarity

  • 🤝 Welcome clients and visitors, creating a calm and supportive environment for individuals who may be dealing with emotional or complex planning matters

  • 📅 Maintain attorney calendars, including scheduling consultations, document‑signing appointments, family meetings, and follow‑up calls

  • 🗂️ Prepare, copy, scan, and organize legal documents, including intake forms, engagement agreements, estate planning drafts, and correspondence

  • ✉️ Handle mail and document deliveries, ensuring timely distribution and filing

  • 📑 Assist with client intake, including gathering preliminary information and updating client records

  • 🧾 Support the preparation of client binders and signing packets for wills, trusts, powers of attorney, and other planning documents

  • 📁 Maintain organized physical and digital files, following confidentiality and compliance requirements

  • 🛠️ Perform general administrative tasks, such as data entry, office supply management, assist with client billing, and light clerical support

  • 👥 Provide administrative support to attorneys and staff on special projects related to estate planning, elder law, Medicaid planning, and special needs trusts

Qualifications

  • Warm, professional communication style suited to working with seniors, caregivers, and families

  • Both a collaborator and an independent thinker.

  • Strong organizational skills and the ability to manage multiple tasks calmly and efficiently

  • Comfort with basic office technology and willingness to learn new technology systems such as case management systems and legal‑specific software.

  • Ability to maintain confidentiality and handle sensitive information with discretion

  • Patience, empathy, and a client‑centered mindset

  • Tasks listed above are exemplary, not definitive – actual tasks will vary based on employer needs, employee aptitude, and other hiring decisions.

Experience:

  • High school or equivalent (Required), Associate or Bachelor (Preferred).

  • Prior experience in a law office, medical office, or client‑service environment is helpful but not required
